We are looking for a highly organized Executive Assistant who has roles and responsibilities below:
ROLE:
- Responsible for providing comprehensive support in the area of executive and administrative to the
assigned Executive of the company.
RESPONSIBILITIES:
- An important and direct representative of the Executive.
- Providing administrative assistance, such as writing and editing emails, drafting memos, and
preparing communications on the executive's behalf
- Filing, retrieving, and maintaining comprehensive and accurate corporate records, documents,
and reports.
- Organizing and facilitating meetings; including scheduling, sending reminders, taking
dictation, minutes, and keeping track of actionable items.
- Managing the executive's day-to-day calendar; making appointments and prioritizing the most
sensitive matters and tasks.
- Using various software, including word processing, spreadsheets, and presentation software
to prepare reports and/or special projects and/or presentations.
- Assist Executive in creating resources and systems to improve workflow.
- Reading and analyzing incoming memos, submissions, messages and distributing them as
needed.
- Opening, sorting, and distributing incoming texts, emails, and other correspondence.
- Making travel arrangements and detailed travel itineraries
- Provide general administrative support.
- Maintaining the current filing and database system, and looking for ways to improve current
systems
- Provide all the information necessary to make decisions and sometimes actually make the
decision.
- Make sure everyone around the office has everything they need, from information to positive
reinforcement.
RESULTS:
- Allowing Executive to focus on decision-making and higher-level responsibilities
- Serve as links between the executive and the rest of the staff
- Contribute to better organization and planning
- Help leaders be more effective in their roles
- Improving and upgrading the systems and workflow of the organization
REQUIREMENTS:
- Time management and ability to meet deadlines in a fast-paced, quickly changing
environment.
- Professional level verbal and written communications skills
- A proactive approach to problem-solving with strong decision-making skills
- Strong organizational skills and ability to multitask
- Ability to act as gatekeeper and escalate relevant information to executives as needed
- Ability to work effectively with minimal supervision
- Ability to treat confidential information with appropriate discretion
- Exceptional attention to detail
- In-depth understanding of the entire Microsoft Office Suite and In-depth understanding of G Suite
